BROOKSIDE COMMUNITY CLUB EXECUTIVE COMMITTEE MEETING – 2/12/01

Attendees: Denis & Lynda Menton, Sara Czarecki, Diane Tolley, Cindy Slate, Jesse Smith, Fran Plodkowski, Irene Daley, Betty Conable, Kathleen Salerno

Denis Menton called the meeting to order in the Community Club at 7:30 PM.

The minutes were read by Howard Helms and were approved with the addition that Jesse Smith had arranged for inspection of the fire sensors, including their wiring to the repeater cabinet.

Building & Grounds:  Jesse Smith’s report is attached.

Jesse reported that the heater is too large for the Club’s heating ducts.  The system requires too many repairs and is not dependable.

A heating consultant recommended the addition of intake and exhaust vents and the replacement of the under-floor ducts with insulated ones.  Jesse will obtain a second opinion about the need for this from a second source.

A central vacuum system with 3 outlets (one in the kitchen) will cost $900.  We voted to approve the expenditure.

Rentals: Betty Conable said that the rental book for this spring is nearly full for Friday, Saturday, and Sundays.  Betty has been directing people to the website.  New counter tops will be installed on Feb. 26th and 27th.

Social and Fund Raising:  Lynda Menton said that we still need someone to organize the Shakespeare day (April 29).  That person needs to deploy signs and publicity in the schools.

Easter Egg Hunt (April 14):  Betty Conable said that Phil (surname unknown) offered to stuff 1000 eggs for $125.  Diane Tolley said that she will check out this offer. We usually do about 2500 eggs.  We provide two types of candy:  Soft candy for young children and hard candy for older children.

We reserved May 19 for a possible evening social event.

Sara Czarecki received a decent set of note cards, but Hawk Graphics again screwed up the stationary (which included Sara's phone number instead of the Club's).

For the Newsletter, Howard Helms will send Sara Czarecki the Club's fax numbers and e-mail addresses, so that Sara can remind us of the need to send her material for the Newsletter that will be sent out at the end of March.  Jesse Smith will obtain a set of mailing labels at the same time that he gets the Rescue Squad’s mailing labels.

April 29 is the date for the Shakespeare Festival.  Someone needs to make the arrangements for this.

Connie Bartes probably will be the parade chair for the next 4th of July.  We probably need someone to be the general chair.  It is time now to start to organize the 4th of July parade.

The schools are holding a contest to come up with a new town logo.  The new logo might be featured in the parade.

Folding Chairs:  Diane Tolley reported that no vendor so far has been willing to provide a sample folding-chair to evaluate.   A small ad-hoc committee will review the information that Diane has gathered and will give the Executive Committee a recommendation.  Sitting and stacking tests will be included in the committee’s tests.

Adjournment: The meeting adjourned at 8:48 PM. on March 12.

Next Meeting:  It will be held at the Community Club on 7:30 PM on Monday, Mar. 12, 2001.

Respectfully Submitted,

Howard Helms
