BROOKSIDE COMMUNITY CLUB EXECUTIVE COMMITTEE MEETING 9/10/01


Attendees: Denis Menton, Howard Helms, Sara Czarecki, Jesse Smith, Betty Conable, Joy Barrett, Cindy Slate, Fran Plodkowski, and Roland George.

The meeting was called to order by Denis Menton at 7:30PM.  The minutes were approved after reading.

Roland George gave the Treasurer’s Report, which is attached. 

Rentals:  Between now and the end of the year we have only 2 Fridays open.  Betty Conable already has 12 contracts for next year.

Betty said that we probably need to pay someone to be the rental agent.  Betty currently plans to resign at the end of this year.

Betty Conable and Fran Plodkowski will talk about the possibility of having Fran take over this job.  The rates will need to be raised to cover a salary for the rental agent.  

Responding to complaints about mice, Denis Menton put down traps that appear to have solved the problem. 

For the cooking classes, a commercial hood needs to be placed over the stove

Building and Grounds:  Jesse Smith looked at a four-zone automatic watering system, with a bid of $2700 that included piping, timers, and stainless-steel sprinkler heads.  Jesse also asked this contractor for his price for installing wires and fixtures to illuminate the flagpole, rhodies, evergreen tree, and two trees in front.  His bid was $1980, for a total of $4600.  The lights will be on timers and will not be too bright. Linda Menton moved that we approve the $4600 expenditure, which was approved by voice vote. 

The window mullions were painted by a community service person, who needs to complete his work.

Our renter is still about $3000 in arrears.  We agreed to keep pressing him for payments.

Social & Fund Raising:  Fran Plodkowski reported that the holiday boutique is going well.  Joyce Bazuk will put posters in the stores. 

The DJ at the Clambake agreed to play also at the New Year's Eve party.  Linda Menton is talking with possible caterers.

The tree will be decorated on Dec. 9.

We need to purchase a steel frame on which to place the piano so that it can be rolled into the closet without losing its tuning.

We will hold the tree decorating party again on a trial basis, since the party last December was attended so poorly.

Social:  Re: the July 4th parade, Howard Helms read a letter from Linda Brusco thanking her co-workers and volunteering to chair the parade next year.

Joy Barrett distributed the attached financial results for the 4th of July parade for the last 5 years.  The profit this year compensated for the loss in the previous year.

Membership:  Sara Czarecki & Howard Helms will generate personalized bills using Sara's Excel file of names and addresses.

November Elections: Dennis raised the question of term limits, due to a lack of candidates for officers.  As a result of our need to retain present officers, we voted to propose to amend the Bylaws to eliminate that part of Article Five, Sect. II, par. C. of the Bylaws that states that “After serving two (2) full consecutive terms any officer shall be ineligible for one (1) year to be re-elected to the same position.  (A full term is one which commences with election at an annual membership meeting.)”

Also, we voted to propose to amend part of Article Seven (Amendments to Bylaws), Section I, which currently states “that all proposed changes shall be submitted in writing, mailed to all members, and posted in a public place for a period of thirty days prior to the meeting at which final action shall be taken.”  The new language would replace the phrase  “mailed to all members” with “posted on the Community Club website,” since mailings are increasingly expensive and are generally regarded as junk mail.

These two motions will be voted on at the general meeting in November.
