Minutes of the Board of the Community Club of Brookside – October 13, 2003

Attendees:  Cindy Slate, Joy Barrett, Fran Plodkowski, Carol Slavin, Irene Daley, Jesse Smith, and Denis Menton

Call to Order:  Denis Menton called the meeting to order at 7:30 pm in the Community Club

Secretary:  Having subbed for the secretary at the previous meeting, Cindy Slate read her minutes, which were approved as corrected (the Twp. Committee formally offered only $3500 of the $7000 we requested for a handicapped accessible ramp, but the Mayor promised Denis that the remainder would be provided.)

Treasurer’s Report:  Carole Slavin reported that we have approximately $40K on deposit and $20K in our bank account.  Carole’s report is attached.

Building and Grounds:  Jesse Smith reported that Kazan’s house has been sold, so there is no possibility of a land donation from him (which we probably wouldn’t want).

Jesse also reported that the Spect house had been sold, but he will check that the shed partly on our property has been moved.

Our tenant has continued to make repairs, including boxing in the water heater.

Annual Meeting in November:  The current officers were renominated.  Fran Plodkowski agreed to be nominated to fill Diane Tolley’s position as Member at Large, if Diane decides not to run again.   Howard Helms will post the meeting notice on the website and on the bulletin board at the post office.

President’s Report  Denis Menton reported that the cost of the ramp and deck as redesigned to accommodate handicapped persons will be about $18,000 to $20,000.  We are counting on the Twp. to pay $7000 of this cost, since the Township plans to hold elections here instead of the Fire House.  Also, the First Aid Squad will pay $5000 for the ramp in honor of Roland George, who served many years on the Rescue Squad and as an election official.  Howard Helms moved and Jesse Smith seconded a motion that up to $20,000 be allocated to build the ramp.  Eight votes were in favor, one opposed.  The motion was carried.  Joy Barrett will obtain a price for TriTek planks for the ramp and deck.

Membership Carole Leone is assuming the membership chairmanship.  Denis Menton is writing the membership renewal letter.  Howard Helms will contact the Township to obtain a set of the mailing labels for the tax roll.

Rentals:  Carole Leone is assuming this job.  She described her hopes for automating the rental process, including the use of credit cards to provide deposits and payments.  The appearance of the website will be improved.

4th of July Celebration  Joy Barrett gave the attached financial report on the 4th of July Celebration.

Next Meeting:  The next meeting of the membership of the Community Club will be held on Monday, November 10, 2004, at 7:30 pm at the Community Club.  This meeting will vote on nominations for officers and for an at-large member.

Attachment:  Financial statement of Club and of its 4th of July Parade Committee

Respectfully submitted,

Howard Helms, Secretary, Oct 13, 2003
