Minutes of the Board of the Community Club of Brookside – Dec. 8, 2003

 

Present:  Sandy Almassy, Joy Barrett, Carol Leone, Carole Slavin, Jesse Smith, and Denis and Lynda Menton.

Call to order:  Denis called the meeting to order at 7:30 pm in the Community Club.

President’s Report:  Denis reported that the deck is basically done.  He is waiting for the weather to improve. 

The Combes lawsuit defense payments have mostly been made.

Treasurer’s Report:  Our checking account balance is $8K.  Another $8500 is on its way.  Denis will call an insurance company from whom $1K is owed.

Building & Grounds Report:  Two Tuesday evenings will be reserved for painting the club. 

Several contractors looked at the furnace.  One contractor (Ronjon) will install two new grates and ducts to provide more air to the furnace, to transfer heat more efficiently and to cool the motor that burns out often.  Jesse will see how the heating system operates during the remainder of the heating season.  If it continues to fail, we probably will replace the furnace with two smaller units for reliability produced by this redundancy.

Roger Medeiros has been doing our cleaning.  Roger will be given a job description/punch list specifying what needs to be cleaned and when.  It would be best if the cleaning people came on Monday and Saturday morning, instead of Monday and Thursday.

No mantel from a renovated house was available, contrary to the hopes Jesseexpressed at the November meeting.

Rentals:  Carol Leone said that our attorney should draft language that makes the renter responsible.  Carol changed some of the contract language, e.g., to add that the contract should be signed and returned in 5 days. 

It would be helpful to review the renters every half year.  Natalie’s Yoga Classes need to pay more than the $15 per session.  Jesse, Sandy, Joy, Carol, and Lynda will meet with Carole to review rates and contract language.  The meeting will be held at Lynda’s house at 7 pm on Weds. Dec. 17th.

Carol prefers to be called at work, not at home.

Social & Fund Raising:  There may be an after-dinner party here after 7:30 pm, BYOB Tailgate-like, everyone should bring their own food and drink.  We will provide ice, and Lynda will try to hire a DJ.
